Business Need

TriStar Plastics, provides engineering, custom fabrication, and manufacturing of high-performance plastics and self-lubricating bearings materials. They process approximately 7,200 invoices per year. The company turned to DASH to implement a process for invoice capture and handling.

What is “touchless” invoice processing? Most of TriStar’s invoices matched & posted without any need for data entry.

Solution

TriStar utilized the DASH AP Robot™ solution to automate the flow of information and manage invoices, removing any repetitive and human-touch steps. The goal was to process as many invoices as possible- touchless. Any invoices that could not be auto-posted would be routed to an electronic exception folder for further review. This minimized the number of times the AP team would have to touch an invoice.

Cheryl Mandella from TriStar has been using the DASH AP Robot™ since September 2021.

She shared with me the significant improvement in her workload, accuracy, and time management.

Daily she processes around 30 invoices in the AP Robo™t. She’s the go-to person for AP processing on her team. Once she receives an invoice, she puts it in the AP Robot processing folder, the AP Robot processes the invoices, matches it with PO and receipt, then posts it to their ERP system and files a copy electronically. All in about 30 seconds. If any invoice isn’t matched to the appropriate P.O. and Receipt, it is placed in an exception folder in the AP Robot, and with about 2 clicks it’s cleared up and posted.

Cheryl says, “I used to have to enter information 3 times to get it to all match up, now I just have to check the information and it’s done! It’s just a few clicks to check that all the invoices are posted for the day, and then I can move on to other important tasks for the day that requires my time.”

Brad Jones from TriStar is their IT Operations Manager guru.

He shared how fast the installation was for the Dash™ AP Robot, “it took seconds, it’s a small desktop app that I installed on Cheryl’s computer, and it was instantly ready to use.” He and Cheryl completed a quick 10-minute walk-through training of the software and were up and running.

TriStar can expand and scale its business and not put pressure to add additional overhead for growth. This will keep vendor payments flowing smoothly and business costs low. She can do valuable tasks now because she isn’t doing the busy work that the AP Robot can do for her.
